How To Plan a Strategic IR Event: 4 Quick Tips

1. Think About Both Audiences

You’re not just talking to the people sitting in front of you live at the venue - you’re also speaking to investors who are watching online.

And that message - and the whole experience - should feel just as strong and clear for them too, no matter where they’re joining from.

“The people you can see and the people you can’t see deserve the same quality experience,” Pflug said.

2. Give Yourself Extra Time to Get Everything Right

One of the biggest mistakes he sees is not setting aside enough time to plan. Picking the right venue, setting up AV and sorting out your webcast - all of this takes time.

You don’t want to rush it if you want things to go smoothly.

“When and where are everything,” he said. “Give yourself the time to make your vision happen.”

3. Make Virtual Attendees Feel Included

Watching a long webcast can be tough - how do you keep remote viewers tuned in?

Try this:

  • Break your Q&A into smaller chunks throughout the event.
  • Give your online audience a way to send in questions in real time.
  • Add quick polls or use chat to keep things interactive.

You want your virtual audience to feel like they’re part of the event - not just passively watching from the sidelines.

4. Choose One Vendor and One Team

Managing multiple vendors for your venue, AV, webcasting and creative work can get messy fast and cause tons of stress.

Instead, work with one experienced team that can take care of everything - from registration and production to the live broadcast and replay.

At Notified, we become your behind-the-scenes partner from start to finish while providing all the support you need. You get one point of contact and an entire team of experts working to make your event shine.
